Accounting Specialist

 

Reports To:        Controller

Classification:     Hourly, full-time employee

Working Hours:  Monday – Friday / 7:30am – 4:00pm

Summary: Ideal candidate will have experience in accounts payable & receivable, performing general accounting functions, and a willingness to learn and take on new responsibilities.

Job Requirements:

  • College degree preferred
  • Minimum two years’ experience in accounting
  • Proficient in Word and Excel
  • Experience with conflict resolution
  • Excellent communication skills


Key Responsibilities/Duties:

Work with Controller to ensure that accounting duties are performed on a timely basis.

  • Prepare, reconcile and post monthly standard journal entries
  • Assist in General Ledger transaction/journal entries
  • Maintain subsidiary ledgers for reports of special projects program
  • Track daily revenue reports
  • Maintain postage machine and record usage charges
  • Assist the Controller in preparing member and corporate billing statements.
  • Research any customer inquiries regarding their accounts
  • Monitor e-mail/take action where needed
  • Assist with processing Member payments
  • Prepare tips and gratuity reports for payroll
  • Prepare documentation for monthly bank reconciliations
  • Assist controller with year-end audit
  • Serve as back-up for controller’s duties
  • Maintain ongoing personal and professional development

Serve as Cash Custodian:

  • Prepare records of operational cash and petty cash transactions
  • Maintain and replenish petty cash funds
  • Make deposits at bank to petty cash and operational cash accounts
  • Record receipt of Trim for View deposits, maintain records and account for refunds

Accounts Payable:

  • Run AP checks and mail weekly
  • Process all AP payments
  • Reconcile AP vs GL
  • Reconcile monthly Visa statement
  • Process cell phone reimbursement checks
  • Process and mail 1099 – miscellaneous tax statements

Accounts Receivable:

  • Assist in preparing and mailing monthly statements
  • Respond to Member questions concerning monthly statements




Activities Coordinator

Responsibilities/Duties: 

  • Coordinate special events for members to participate, i.e., parties, guest speakers, classes, arts & crafts, etc.
  • Act as a conduit for the homeowners to communicate information regarding member-initiated events and club activities.
  • Maintain Activities Calendar on an on-going basis.
  • Works closely with the Activities Committee.
  • Provide assistance and support to Lifestyle Director


General:

Operate under the guidelines and policies of The Highlands Homeowners Association Employee Manual and the standards and constraints set forth by Management.  Employment is contingent upon a favorable outcome of eligibility verification with E-Verify and drug screening

Administrative Assistant


Reports To:             Executive Assistant

Directly Supervises: N/A


Classification:          Hourly, full-time employee

Job Requirements:

  • Proficient in Microsoft Office
  • 2 years’ minimum experience


The Administrative Assistant will assist the Executive Assistant (EA) in her/his daily duties; therefore the job description may mirror the EA’s.

Responsibilities/Duties:
Community Manager, Board, Committee Chairs and Resident Support

  • Maintain interactions with residents and staff regarding on-going HOA operations and business while serving as a resource for governing documents and rules and regulations.
  • Develop and maintain electronic and paper filing systems.
  • Update reference notebooks in library and website including board and committee rosters, minutes, community forms, discussion forums and other association communications.
  • Prepare reports, informational requests, analyze submissions to determine action or distribution and handle clerical functions such as preparing correspondence, receiving visitors and scheduling meetings. Also act as a resource for residents and directors when the Executive Assistant and/or Community Manager are out of the office.
  • Attends monthly Board of Director’s meetings; takes minutes and transcribes.
  • Assist the Executive Assistant in routine projects, special assignments and in producing the Week Ahead message.
  • Relay information and transmittals from committees and residents to supervisor. Coordinate board file activity, photo copying and document chronicling. Support BPA with policy documentation for consistency and timeliness.
  • Assist in processing Arizona Liquor License renewal. Ensure recordkeeping and notice posting is in compliance with Arizona Statues.
  • Perform other clerical functions as assigned.
  • May provide back up to the front desk in main lobby.


ALC Support

  • Collect and assemble meeting application packets and related materials. Assist with current issues and format agendas twice monthly. Prepare letters and permits following ALC meetings.
  • Assist residents on variety of questions and inquiries for information relating to exterior home / landscape modifications and guidelines both by phone and drop-in visits.
  • Maintain electronic files and hard copy files and system for monitoring on-going projects and permits until completed.
  • Administer Design Guideline modifications as directed by ALC and Board to ensure accurate and appropriate documentation.
  • Assist EA with over-seeing exterior paint color regulation.
  • Assist Executive Assistant and Community Standards Team addressing resident concerns/ complaints and facilitate uniform handling of violations plus correspondence and reporting.
  • Support ALC members on special projects including resident contact, record keeping and progress monitoring. Function as Secretary to record meeting minutes when necessary.


CAC Support

  • Collect, assemble and distribute meeting application paperwork while taking care of common area and trim for view questions and procedural steps.
  • Prepare approval and fine correspondence, oversee issue of permits and check handling.
  • Administer Standards of Care and Programs hard copy and electronic modifications.


General:

Dishwasher
The Highlands at Dove Mountain Home Owners Association (HOA) is currently seeking a part-time dishwasher. Summary:
As a dishwasher you will be responsible for ensuring that our production teams have sanitary tools and workspaces. This includes all duties related to dishwashing: unloading kitchen deliveries and cleaning all of the dishes, utensils, pots and pans. Other areas of responsibility include food prep work and maintaining food quality and sanitation in kitchen. 

Duties:
• Wash, rinse, and sanitize dishes, pots, pans, and implements used by the store in preparing foods for sale.
• Follow and comply with all applicable health and sanitation procedures and adhere to safe work practices.
• Maintain cleanliness of floors, mats, drains, walls and shelves of kitchen area.
• Operate and sanitize all equipment in a safe and proper manner.
• Perform food preparation work as directed.

  • Must be detail oriented, flexible, independent
  • Ability to multi-task effectively
  • Strong customer service skills
  • Proficient in Word, Excel, PowerPoint and Publisher
  • Adobe InDesign and Photoshop an asset
  • Strong word processing and data entry skills
  • Basic web knowledge
  • 1-2 years prior experience as an Administrative Assistant required


Key Responsibilities/Duties:

  • Create and edit content for monthly member newsletter, The Highlander. Accept items for inclusion from members, clubs, the Association, and various departments.
  • Sell print advertising space in the newsletter and the annual member directory. Accept advertising that is print-ready or create as needed. Maintain and create new business relationships with local partners. Keep resident and commercial rate sheets current.
  • Track and execute the billing of commercial and resident advertising on a monthly basis.
  • Act as a conduit for homeowners to communicate information regarding member-initiated events and club activities.
  • Create and edit the annual Membership Directory.
  • Make edits to the content of the Visitor’s information kits.
  • Create, edit and maintain digital content for HOA video display board.
  • Write and edit short articles for in-house newsletters and e-blasts.
  • Creation of PowerPoint presentations as needed.
  • Ensure that up-to-date information regarding The Highlander is published on the Association website.
  • Creation and execution of e-blasts to residents using Constant Contact. Upload monthly updates to electronic mailing list.


This position provides assistance and support to all departments when necessary, at the discretion and under the supervision of the Controller. Special projects may include data entry, spreadsheets, document, poster or presentation creation, design and/or various clerical functions.
