Activities Coordinator
We are looking to hire a part-time Activities Coordinator. You will be responsible for providing on-going activities/events for The Highlands at Dove Mountain Community. Must be able to work a flexible work schedule... hours will vary, including evening hours. Email resume or apply in person Monday - Friday from 8am to 3pm at 4949 W. • Coordinate special events for members to participate, i.e., parties, guest speakers, classes, arts and crafts, etc.
• Act as a conduit for the homeowners to communicate information regarding member-initiated events and club activities.
• Maintain activities calendar on an on-going basis.
• Works closely with the Activities Committee.
• Provide assistance and support to Lifestyle Director

Job Requirements:

Administrative Assistant
Reports To:  Executive Assistant  
Classification: Hourly, full-time employee
Job Requirements:
 High School Diploma preferred
 Must be detailed oriented
 Multi task oriented
 Strong customer service skills
 Proficient in Microsoft Office
 2 years’ minimum experience

The Administrative Assistant will assist the Executive Assistant (EA) in her/his daily duties; therefore the job description may mirror the EA’s.

Community Manager, Board, Committee Chairs and Resident Support
 Maintain interactions with residents and staff regarding on-going HOA operations and business while serving as a resource for governing documents and rules and regulations. 
 Develop and maintain electronic and paper filing systems. 
 Update reference notebooks in library and website including board and committee rosters, minutes, community forms, discussion forums and other association communications.
 Prepare reports, informational requests, analyze submissions to determine action or distribution and handle clerical functions such as preparing correspondence, receiving visitors and scheduling meetings. Also act as a resource for residents and directors when the Executive Assistant and/or Community Manager are out of the office.
 Attends monthly Board of Director’s meetings; takes minutes and transcribes.
 Assist the Executive Assistant in routine projects, special assignments and in producing the Week Ahead message.  
 Relay information and transmittals from committees and residents to supervisor.  Coordinate board file activity, photo copying and document chronicling.  Support BPA with policy documentation for consistency and timeliness. 
 Assist in processing Arizona Liquor License renewal.  Ensure recordkeeping and notice posting is in compliance with Arizona Statues.
 Perform other clerical functions as assigned. 
 May provide back up to the front desk in main lobby.

ALC Support
 Collect and assemble meeting application packets and related materials.  Assist with current issues and format agendas twice monthly. Prepare letters and permits following ALC meetings.  
 Assist residents on variety of questions and inquiries for information relating to exterior home / landscape modifications and guidelines both by phone and drop-in visits.
 Maintain electronic files and hard copy files and system for monitoring on-going projects and permits until completed. 
 Administer Design Guideline modifications as directed by ALC and Board to ensure accurate and appropriate documentation.
 Assist EA with over-seeing exterior paint color regulation. 
 Assist Executive Assistant and Community Standards Team addressing resident concerns/ complaints and facilitate uniform handling of violations plus correspondence and reporting.  
 Support ALC members on special projects including resident contact, record keeping and progress monitoring.   Function as Secretary to record meeting minutes when necessary. 

CAC Support 
• Collect, assemble and distribute meeting application paperwork while taking care of common area and trim for view questions and procedural steps.
 Prepare approval and fine correspondence, oversee issue of permits and check handling.
 Administer Standards of Care and Programs hard copy and electronic modifications.
Operate under the guidelines and policies of The Highlands Homeowners Association Employee Manual and the standards and constraints set forth by Management.  Employment is contingent upon a favorable outcome of eligibility verification with E-Verify and drug screening.

The Highlands at Dove Mountain Home Owners Association (HOA) is currently seeking a part-time dishwasher. As a dishwasher you will be responsible for ensuring that our production teams have sanitary tools and workspaces. This includes all duties related to dishwashing: unloading kitchen deliveries and cleaning all of the dishes, utensils, pots and pans. Other areas of responsibility include food prep work and maintaining food quality and sanitation in kitchen. 

• Wash, rinse, and sanitize dishes, pots, pans, and implements used by the store in preparing foods for sale.
• Follow and comply with all applicable health and sanitation procedures and adhere to safe work practices.
• Maintain cleanliness of floors, mats, drains, walls and shelves of kitchen area.
• Operate and sanitize all equipment in a safe and proper manner.
• Perform food preparation work as directed.
• Accept and process product from receiver.

Manage and maintain a vibrant club website; manage and produce compelling resident and public electronic/print communications; produce business intelligence and ad hoc queries and reporting, using the club’s management software solutions and other analytical tools.         



Job Duties

* Maintain web site content (provided by staff members and self-generated).

* Assure that web site content is timely, comprehensive, accurate, appropriate and attractive.

* Use the available web site design tools to keep the site appearance fresh and compelling.

* Use the available E-communications tools to create campaigns for a variety of resident events and activities.

* Utilize the club management database to generate E-communications to residents and the public.

* Utilize publishing tools to create print publications and brochures.

* Utilize the club management ad hoc reporting and business intelligence tools to generate requested queries and reporting from the club’s relational database.

* Utilize other analytical tools, such as MS Excel, to enhance the output from the club management solutions.

* Interface with outside vendors as needed to best utilize their tools.



* Provide quality service to staff, the Resident Board of Directors and Resident Committees.

* Promote a high standard of excellence.

* Evaluate present electronic communications and database operations and develop new ideas for the future.




* Bachelor's degree (B.A. or B.S.) in communications and/or database management from a four-year college or university, preferred.

* Three to five years related experience required.



* Extensive, hands-on experience in all facets of “packaged” web site solutions administration and management, including page design and brand consistency, navigation, content management and generation, photo gallery management, etc.

* Extensive, hands-on experience in generating compelling web site content.

* Extensive, hands-on experience with relational database queries, report design, graphical output and reporting.

* Extensive, hands-on experience with E-communications and E-marketing campaigns including concept, design, execution and analysis of target effectiveness (opens, click-throughs, actions).

* Proficient with Microsoft Office 2007/2010 applications: Word, Excel, PowerPoint and Publisher.

* Proficient with digital camera technologies.

* Excellent communication, presentation, documentation and project management skills.

* Ability to manage multiple projects and job assignments.
